Privacy Policy
How we collect, use and look after your personal information.
This policy explains what personal information Black Butter Limited collects, why we collect it, how we look after it and what your rights are. It covers people who visit our website or get in touch, our clients, people who appear in the photos and videos we make, and the freelancers and suppliers we work with.
Information We Collect

Enquiries: your name, email, phone number if you give it, business name and anything you tell us about your project. Website form submissions go to our hello@blackbutter.co.uk inbox. Clients: contact details, briefs, contracts, invoices, payment records and our conversations while working together. People in our photos and videos: your image, voice and anything you say on camera. If you're featured, we'll also hold a release form with your name, contact details and signature. Social media management: when we run a client's social accounts, we see comments, messages and profile details from people who interact with that brand. Freelancers and suppliers: contact details, agreements, invoices and payment details. We don't knowingly collect sensitive information such as health details, and we ask you not to send it to us.

How We Use It and Why

The law requires us to have a lawful reason for each way we use personal information. Ours are: Replying to enquiries and quoting: steps you've asked us to take before a contract, or our legitimate interest in responding to business enquiries. Delivering client work and invoicing: performing our contract with the client. Keeping financial and tax records: legal obligation. Filming or photographing featured people: consent, recorded on a release form. Filming in venues where the public may appear in the background: our and our client's legitimate interest in producing promotional content, with notice given at the venue. Showing past work in our portfolio and on our channels: our legitimate interest in promoting our business, or consent where a release form covers it. Working with freelancers and suppliers: performing our contract with them. Where we rely on consent, you can withdraw it at any time by emailing us. This doesn't affect anything we did before you withdrew it.

Photography, Filming and Social Media

If you’re featured in our content, for example interviewed, shown cooking or serving, or modelling, you’ll be asked to sign a release form first. Depending on the job, this is collected by us or by the business we’re working for. When we film in a restaurant, café or venue, the business we’re working for is responsible for letting customers and staff know filming is taking place. We try not to make anyone the focus of a shot unless they’ve agreed to it. We only film children with written consent from a parent or guardian, and we never publish a child’s name or anything that shows where they live or go to school. If you appear in something we’ve made and want to be removed or blurred, email us. Content already published by a client sits on their channels, so we’ll pass your request on and work with them on it. When we run a brand’s social accounts, we read and reply to comments and messages on that brand’s behalf and follow their instructions. Questions about a message you sent to a brand are best sent to the brand, or contact us and we’ll pass it on.

Who We Share It With

We never sell personal information. We only share it where we need to: Our clients, who receive the content we make for them Freelancers such as camera operators and editors, who only get what they need for the job Service providers we use to run the business, including Google Workspace (email, files and forms), QuickBooks (accounts), Metricool (social scheduling), Framer (this website) and AI-assisted editing, grading and captioning tools Professional advisers such as our accountant or solicitor Authorities such as HMRC, where the law requires it Some of these providers store data outside the UK, including in the US. Where that happens, the transfer is covered by safeguards recognised under UK law, such as the UK-US data bridge or the UK International Data Transfer Agreement. We keep information secure with 2-step verification on our accounts, encrypted devices and access limited to the people who need it.
